The year must have 4 digits.
An auto response knows about two phases. In the first phase you place an auto response. During your absence all your arriving emails are answered. At the same time everyone who has sent an email to you during your absence is saved. This information is provided to you when you delete your auto response. This is phase two.
Go to "auto response" in the menu. The following page presents you a form where you can fill in all data to your absence. Some of the fields are filled with text proposals. However, you can change the texts as you like.
An auto response will be sent only in case the email arrives within the time specified. Outside the time specified no action is taken.
When filling in a email address to forward emails please pay attention that the mail address is valid. Emails will be forwarded to this address and additionally placed in your mailbox at ASAMnet.
If an auto response is configured you are unable to configure another until the existing auto response is deleted.
If an auto response is configured you get informed to whom an automatic reply has been sent. This information will be deleted together with the configuration of the auto response once you click on "I be back".
If you want to forward all your mails to one or more recipients please fill in the email adresses in the field. Please keep in mind that you are allowed to place only one address in each line of the field.
E-Mails will be delivered into your mailbox and will be forwarded to the recipients you filled in.
You want to change the password for your mail account type in your current password and a new password. For security reasons you have to type the new password twice.
Remember to change the password in your mail client software as well, because otherwise you can't access your mailbox any longer.
After klicking "Mail filter" you see either an overview with all your mail filters or at once the input mask for mail filters. Which one you see depends on whether you have defined mail filter previously. If there are no filters present yet you will directly see the input mask for mail filters. Otherwise you see the overview with your mail filters.
A mail filter is a tool which enables you to work with emails on the basis of different criteria. You can use a mail filter e. g. to move mails from a special sender to a specific folder. Or e. g. you can use a mail filter to forward mails to another email address.
You can create as many mail filters as you like. To not loose track of your filters you should use a meaningful description for each filter. You can sort the filters as you like. The filters are executed from the first to the last filter. If a filter matches the configured action is executed and - if configured - additional filter continue with a copy of the email.
A mail filter consists of general data like the description, the position and the filter rules. Filter rules you can be combined with "AND" or with "OR". AND means that all rules have to be satisfied to trigger the action. OR on the other hand means that only one rule has to be satisfied to trigger the action. A mail filter must have one and may have up to five filter rules. Also it must have an action.
"Use Regex" relates to the usage of regular expressions. If you do not know what regular expressions are, you can read the description of regular expressions here. If you are not familiar with regular expressions please do not click the box to use regular expressions or read the description mentioned above before.
Advice: if you do use regular expressions you should not define a filter which deletes email immediately. Otherwise it is possible that a small error in your regular expression makes it match all email and therefore all email will be deleted accidential.
"Stop" means that work stops if the filter rule is triggered.
To define a filter rule first choose the field and then choose the compare method. Now fill in the value to comare to. The button "More" enables you to set more rules. Analogous the button "Fewer" removes the last rule. The button "Delete" removes all rules.
The actions you can use are "file into folder", "forward to" and "delete". The option "file into folder" provides a list with all folders available in your mailbox. Select the appropriate folder by clicking on it.
The option "forward to" is used to forward an email to another mailbox. You have to fill in the email address the mail is forwarded to.
Please use the option "delete" with care! The mail will be deleted and not delivered to your mailbox. Please keep in mind that important emails will be deleted too if the filter rules apply to it. It is better to move those mails to a special folder in your mailbox, review them and then delete the mails not needed by hand.
You can sort your filters using the filter position. Select the filter before which the actual filter should be placed.
Changes of the filter setup will work immediately after saving them.
ASAMnet offers you an own spam tool, SpamAssassin. When using SpamAssassin all emails are scanned and categorized before delivery to your mailbox. Spam will be marked with "***SPAM***" in the subject of the mail and a special header X-Spam-Flag is added to the email's header.
Definition:
SpamAssassin has to be tained to recognize spam. For this there is in your mailbox the folder "spam_trainieren" with the subfolders "spam" and "ham". Training runs are scheduled automatically by our mailserver. During these runs SpamAssassin learns all mails in the folder ham as good emails which should no longer be classified as spam. Analougus SpamAssassin learns all mails in the folder spam as bad mails and classifies these mails as spam in the future.
SpamAssassin rates all emails and allocates points for several criteria. Once an email exceeds a preset value of points the mail is classified as spam. In the header of the email the flag X-Spam-Flag is set to "Yes" and the subject of the mail will start with "***SPAM***". There two indicators enable you to use a mail filter to sort out spam.
When adding mails into the ham folder it is generally a good idea to copy (learned mails will be deleted after the periodically automated learning) mails that scored somewhere close to the threshold (e.g. a mail scored 4.9 points and the threshold is 5 for tagging as spam) to the ham folder as well.
The configuration interface of SpamAssassin is found at the menu. Click on "Spam filer". This page gives you the possibility to setup SpamAssassin as you like or to switch SpamAssasssin off comletely.
The option "Use spamassassin" controls wheather SpamAssassin is used for yout mailbox or not. Using SpamAssassin implies automatic training of SpamAssassin. For this there are the folders mentioned above in your mailbox. When fetching emails with the POP3 protocol you don't habe this feature. In this case we recommend to use our webinterface. There is an easy to use possibility to mark spam emails and to move them to the training folders.
Trained spam and ham emails are deleted after successful automatic training.
The next line in the SpamAssassin configuration website gives you the possibility to turn on and off a so called Spam Report. A Spam Report is a Email you will get regularly. The Email informs you about the number of read and unread emails in your spam folder.
The next line in the SpamAssassin configuration webiste shows the status of training of your personal SpamAssassin. You can see the number of traines spam and am emails.
Please pay attention:
SpamAssassin needs at least 30 spam emails and 10 ham emails to be trained. Otherwise SpamAssassin can not check your mails.
The next line in the SpamAssassin configuration website shows you date and time of the last training run. Normally the training runs several times a day. The exact time of training depends of the number of members using SpamAssassin and the number of mails each user wants to train. Depending on workload there are up to six training runs a day.
If you want to move all your recognized spam emails to the subfolder Spam in your mailbox please select the appropriate option. Please keep in mind that this option is executed before your nomal mail filters are executed.
The next setting is concerned with the size of emails SpamAssassin analyzes. Spam emails normally are small in size (<50 KByte). Default size limitis 50 KByte. You can increase the value up to 999999 Byte. Biger values are not possible.
The next setting is concerned with the rating of emails as spam. SpamAssassin assigns points to an email or several criteria (e. g. the mails trained by yourself). This setting determines which amount of points is necessary to classify an email as spam. Don't degrease this value to much. Good emails also contain elements which are assinged points by SpamAssassin. In practice a value of 5.0 has proven to be effective. This is the preset value. If you want to change this setting please provide the new value with one mandatory decimal digit (e. g. 5.5). The maximal value to be set is 99.9.
The last setting SpamAssassin offers is to provide trusted email adresses. This so called whitelist effects that emails sent from a person on the whitelist are always classified to be ham regardless of the value assigned by SpamAssassin. Please enter one email address per line. You can use a wildcard like "*". Some descriptive examples:
| Examples: | |
| max.mueller@asamnet.de | All emails from max.mueller@asamnet.de are trustworthy. |
| *@asamnet.de | All emais from the domain asamnet.de are trustworthy. |
| *meier@asamnet.de | All emails which end with *meier@asamnet.de are trustworthy. |
| *asamnet.de | All emails that end with asamnet.de are trustworthy. |
